Out with the Old, In with the New: Epson WorkForce Enterprise MFPs Fill Print Solution Gap, Offering Heat-Free Inkjet Technology

DivcoData, an industry-leading, all-inclusive print and mailing service provider based in Tennessee, processes many different types of statements, serving about 500 clients across 14 states. This includes variable data tax statements, utility bills, vehicle tag renewal notices, certified mail letters, direct mail marketing, non-profit appeal letters and even mortgage and refinance. DivcoData prints all its clients’ statements in-house and delivers them to USPS to mail out.

John Dawson, managing partner of DivcoData

Entering the mailing business in 1995, John Dawson, managing partner of DivcoData, considers his company to be more traditional. “We had printing presses and black-and-white digital production machines that required multiple steps when printing,” said Dawson. “We’d print a shell creating a base template, typically in color, then we’d need to apply the black variable data on top of those preprinted shells.”

Logistically, this process became difficult to manage as the company grew. DivcoData began a quest to look for newer technology to meet increasing print volume demands, and in Dawson’s research, he found roll-fed inkjet technology to be the ultimate solution. However, it seemed to be cost prohibitive. “It required about a $1 million investment,” he said. “Eventually, we want to get into that platform, but we need something to fill in the gap between our digital production machines and roll-fed machines—that’s where the Epson products came in.”

From Traditional to New Technology

“In the digital world, cost is based on every sheet of paper that comes out of the machine. Digital printers also come with fixed costs that are quite expensive,” Dawson explained. Expanding his online search for a cost-efficient printing solution, he came across the Epson WorkForce Enterprise MFP portfolio. “I contacted Epson through its website and was connected to Better Office Systems, a single-source provider for office system and solution needs based in Atlanta, Georgia.

“We bought one WorkForce Enterprise unit from Better Office Systems because we wanted to try it and see how it would perform. We were so impressed that we bought three more units. As our digital equipment expired or came off of lease, we replaced them with additional units.

“With the WorkForce Enterprise inkjet printers, we moved away from the traditional processes and the need to produce shells and imprint black overprints. Now, we could do the entire job in one seamless pattern. Not only did we reduce logistics, but we also reduced our costs by going with the Epson units.

“The printers have also performed exceptionally well with very little downtime compared to the digital equipment, which constantly needed service.”

Engineered with PrecisionCore Heat-Free Technology, the WorkForce Enterprise lineup offers the lowest power consumption in its class.1 The WF-C21000 requires up to 75% less energy vs. color laser printers2 and blazes through prints at up to 100 ISO ppm3 for black/color, the fastest print speed in its class,4 with practically no warm-up time. The WF-C20750 color MFP speeds through prints at 75 ISO ppm.3 Requiring minimal intervention with few maintenance parts, the lineup is designed to help minimize waste.

Exceptional Features, Performance and Service That Meet Business Needs

DivcoData currently has nine WorkForce Enterprise MFPs installed with finishers. “We opted to install the finishers to help increase output quantity and quality as well as save time on manual intervention,” said Dawson. “We serve about 75 utilities and waste management companies and process for about 150 county vehicle tag renewals—we have a multitude of clients. For one of them, we’re printing 8.5×14” colored tax bills and producing roughly 250,000 documents per month on one of the Epson units.”

The WorkForce Enterprise offers a professional staple finisher with stapling, stacking and hole punch capabilities, and a professional booklet finisher which includes the professional stapler finisher capabilities as well as a booklet-making feature.

“We were especially thrilled to implement the enhanced finishers to speed up stacking and stapling processes and ultimately streamline workflow,” said Dawson. “They have surely not disappointed.

“Epson stands behind its technology. We had a unit that was having an intermittent problem, but they couldn’t track down a solution. So, they replaced the entire unit. You can’t beat that kind of service. The Epson service coupled with the print quality that comes out of those machines is just impeccable. Epson has provided us with phenomenal support and extensive resources—from order to install and even arming our team with basic technician training. This has made it easier for us to be successful and profitable.

“Utilizing the WorkForce Enterprise units allows DivcoData to gain and look for additional clients. Again, because it reduces so many logistics, it makes the sales process easier on our side. Instead of looking for particular types of clients, now doors are opened to additional clients that we wouldn’t normally have called in the past. I highly recommend the Epson WorkForce Enterprise MFPs,” concluded Dawson.
